00 / A Category Choice

Follow Up Boss tells you what to do. Zyntro does it.

You chose Follow Up Boss for good reasons: it was open, well-engineered, and genuinely loved by agents. Those reasons haven't stopped being true — they're being quietly eroded by shifts you didn't choose and can't control. This isn't a page about swapping one CRM for another. It's about which category of tool your next five years run on.

01 / What Has Shifted

The ground under your CRM has moved.

Three changes happened whether or not anyone announced them to you. Each one is a matter of record. Together, they turn staying put into a decision rather than a default.

Finding 01 Ownership & data

Follow Up Boss is owned by Zillow.

Zillow completed its acquisition of Follow Up Boss in early 2024. Contacts that exist in both Follow Up Boss and Zillow are classed as Mutual Customers, and a dedicated privacy policy governs how behavioral data on those shared contacts is collected and used across both companies.

The policy applies to personal information about shared contacts, including activity and engagement data, and permits its use within the Zillow family of companies under the terms stated.

Finding 02 The cost stack

The base layer runs about $108 per user, per month.

~$108/user/mo

That figure covers Follow Up Boss plus its native dialer. It does not include the layers most agents add before the system can run a business:

  • IDX website
  • Email marketing
  • E-signature
  • Scheduling
  • Integration glue

Finding 03 The category

The category has moved from stitched tools to intelligent platforms.

For a decade, the standard was best-of-breed: one CRM at the center, specialist tools bolted on around it. The industry is now consolidating toward all-in-one platforms where a single intelligence layer reads the relationship and acts on it.

Follow Up Boss is built on notifications and tasks. It surfaces what should happen next and assigns it to a person. Crossing into a system that performs the work requires a different architecture, not an added feature.

What this changes

“How do I stay on top of my CRM?”

“What is my CRM doing for me today?”

03 / Two Categories

Not a better CRM. A different category.

A notify-and-task CRM tells you what to do. An autonomous relationship platform does it, then hands you only the moments that need you. You feel the difference before your first coffee.

Your reputation stays yours. Your role shifts from executing to directing.

    Your voice and guardrails

How you speak, who never gets a call, what topics stay off-limits. You set it one time.

  2. 02 / SI operates

    Inside those lines, every night

Segmentation Intelligence acts within your boundaries — never around them.

  3. 03 / You lead

You were never meant to shift every gear yourself. You decide where each relationship is going — the system drives.

You do, prompted by tasks and reminders.

The system does, in your voice, and reports back.

03Your morning

Your task backlog.

Your relationships.

05 / The Other Side

What your business looks like on the other side.

Not a feature tour. One ordinary working day, and the things that happen in it that never happened before — because one brain is holding every relationship at once.

  1. 8:40 Morning · Before coffee

A client you haven't spoken to in two years hears from you — on exactly the right day.

It's the anniversary of the Hendersons getting the keys on Maple Street. You didn't remember. Segmentation Intelligence did — and it knew they answer calls on weekday mornings, not texts. So Phona calls, in your voice, congratulates them, and asks how the house is treating them. Diane mentions her brother is relocating in the spring.

You find out at 9:15, from a one-line summary. Nobody set a reminder. Nobody dropped one.

    • 06:02Purchase anniversary detected · 2y since last touch
    • 06:03Channel pref: voice · window 8–10am
    • 08:40Phona call · 4m 12s · warm
    • 08:45Referral signal: sibling relocating, Q2
  2. 2:15 Afternoon · Your voice

You pick up the dialer, and the conversation picks up where the morning left off.

You call Diane's brother yourself. Before he answers, you already know what Diane said at 8:40, which neighborhoods she thinks he'd like, and that he prefers you call after lunch. The dialer you use in the afternoon sits on the same Voice Intelligence layer that handled the morning's AI calls.

Two voices. One continuous relationship conversation. No "sorry, remind me where we left off."

  3. 4:50 Late day · Closing

Proposal sent, signed, and invoiced — all from the same brain that started the conversation.

The listing content, the page on your website, the proposal in Clinch, the signature in Docli, the invoice in Edge. Each one already knows who this person is, what they care about, and what was said this morning.

No stitching tools together. No reconciling records at 9pm. No signal dropped somewhere between apps.

Month six is sharper than month one.

Every call, reply, and silence teaches Segmentation Intelligence something. It learns who answers, when, and on which channel — so the longer it runs, the more precisely it reaches the right person at the right moment. Your book doesn't just stay warm. It compounds.

  • Response patterns who engages, and how
  • Timing the hour each person actually picks up
  • Channel preference voice, SMS, or email — per contact
06 / An Honest Exception

Where Follow Up Boss is still the right choice.

Follow Up Boss is a good product built for a specific way of working. If any of these describe you, staying put is the sound decision — and we would rather say so here than have you find out after a migration.

  1. 01

The solo agent closing around ten transactions a year who wants nothing automated.

If you know every client personally, prefer to make every touch yourself, and your volume fits comfortably in your head, a clean task-based CRM is enough. Autonomy solves a problem you don't have.

    Stay with Follow Up Boss
  2. 02

Teams locked into enterprise contracts where switching costs outweigh the gain today.

Multi-year terms, brokerage-wide integrations, and retraining dozens of agents are real costs. If the math doesn't work this year, it doesn't work. Revisit it at renewal, not before.

    Stay, and revisit at renewal
  3. 03

Agents whose primary lead source is Zillow, with the data-sharing trade knowingly accepted.

If portal leads are the business and you've made peace with how that data flows, Follow Up Boss sits closer to that pipeline. That's a legitimate strategy, and it's built for it.

    Stay with Follow Up Boss
  4. 04

Anyone genuinely happy with a task list they actually clear.

Some people reach zero every day and enjoy it. If your list never outgrows your week, the system is working. There's nothing to fix.

    Keep doing what works

The inverse

If your business depends on a sphere of past clients and referral partners you can no longer personally reach, that is the gap Zyntro was built for.

The past client who listed with someone else because you went quiet. The referral partner who drifted after a year without a call. A network that leaks a little value every day — not from neglect, but from arithmetic.

07 / The Migration Reality

Moving CRMs is real work. We plan it that way.

Your contacts, years of relationship history, deals already in motion, and the habits your team has built around Follow Up Boss don't relocate in an afternoon. We won't promise a one-day move. We'll help you plan one that doesn't drop anything on the way.

What actually has to move

  • Contact data

Fields, tags, lead sources and duplicates get mapped before anything is imported, so the way you segment your sphere survives the trip.

  • Relationship history

Notes, call logs, emails and timelines are the context that makes outreach sound informed. We treat them as the asset, not an afterthought.

  • Active pipelines

Deals mid-flight stay where your team can see them until they're confirmed on the other side. Nothing in escrow goes dark during a cutover.

  • Team habits

The routines people rely on every morning get retired deliberately, with time to adjust, rather than switched off overnight.

08 / Your Next Step

Follow Up Boss tells you what to do. Zyntro does it.

See your business on an autonomous platform.

Not a product tour. Bring your database, your sphere, your pipeline — and we'll show you what your mornings look like when the follow-up is already done, in your voice, before you open your laptop.
